LESSON TERMS & CONDITIONS
Effective September 2026
Welcome to Leamington Voice Studio.
We want lessons to be enjoyable, supportive and professionally run. These Terms &
Conditions explain how lesson bookings, payments, cancellations and make-up
lessons work and help us provide a fair and consistent service for all students and
families.
These Terms & Conditions apply to ongoing individual 1:1 tuition at Leamington
Voice Studio unless otherwise stated. Group classes, Mini Singers, workshops,
holiday activities, showcases and other events may be subject to separate booking
terms.
By accepting an ongoing lesson place with Leamington Voice Studio, the student, or
their parent/guardian where the student is under 18, agrees to these Terms &
Conditions.
1. LESSON ENROLMENT
Students are booked into an agreed regular lesson time, either weekly or fortnightly.
Once confirmed, this time is reserved specifically for that student and remains their
regular lesson time until lessons are ended in accordance with these Terms &
Conditions.
Lesson lengths may include:
• 30 minutes
• 45 minutes
• 60 minutes
Lessons are available for children aged 5+, teenagers and adults.
Acceptance of a lesson time confirms acceptance of the agreed lesson fee, timetable
and these Terms & Conditions.
2. YOUR RESERVED LESSON TIME
Your tuition fee does not pay only for the time spent in the lesson itself.
It also reserves your regular lesson time, teacher, studio space and the
administration required to run your lessons.
Once a regular lesson time has been allocated, Leamington Voice Studio commits
teaching time and studio resources to that student. This is why missed lessons and
late cancellations remain chargeable unless otherwise stated within these Terms &
Conditions.
3. THE TEACHING YEAR
Our standard weekly tuition programme is based on 40 scheduled lessons across
the teaching year.
Fortnightly students receive the corresponding number of lessons according to their
agreed timetable.
Lessons are generally scheduled in line with Warwickshire school term dates, with
regular lessons not normally taking place during designated school holidays and
studio closure periods.
Monday Students
Because several Monday Bank Holidays fall outside Warwickshire school
holidays, Monday students receive fewer scheduled teaching weeks across the
year.
The monthly tuition fee for Monday students is therefore adjusted to reflect the
reduced annual lesson allocation.
Monday students will receive an individual lesson calendar showing the lessons
included within their tuition programme.
Students will be provided with a lesson calendar showing their scheduled teaching
dates.
The individual lesson calendar issued by Leamington Voice Studio should be used to
confirm the lessons included within your tuition programme.
4. HOW MONTHLY FEES WORK
The annual cost of tuition is divided into 12 equal monthly payments to make
payments consistent throughout the year.The monthly payment is therefore not a charge for the number of lessons taking
place within that particular calendar month.
Some months contain more teaching weeks than others, while school holiday
periods may contain fewer or no regular lessons.
For this reason, monthly payments continue throughout the year, including
school holiday periods and August.
The 12 monthly payments together pay for the student's agreed annual lesson
allocation, as shown on their individual lesson calendar.
For Monday students, the lower monthly fee reflects their reduced annual number of
scheduled lessons due to Bank Holidays.
5. CURRENT INDIVIDUAL LESSON FEES

45 minutes – £125.00 per month
60 minutes – £166.67 per month
Standard Fortnightly Lessons
30 minutes – £41.67 per month
45 minutes – £62.50 per month

Monday Students

Monday Fortnightly 30-minute lessons – £37.50 per month
Monday Weekly 45-minute lessons – £112.50 per month
Monday Weekly 60-minute lessons – £150.00 per month
Introductory Lessons
30 minutes – £25
45 minutes – £37.50

Monthly instalments may be rounded to the nearest penny.Additional services such as examinations, accompaniment, audition coaching,
recording sessions, showcases, workshops, rehearsals or other specialist sessions
may be charged separately.
Any additional charge will be communicated before the relevant service is booked
wherever reasonably possible.
6. PAYMENT
Monthly tuition fees are collected automatically on the 1st of each month using the
payment method registered to the student's account.
By providing payment details and accepting an ongoing lesson place, the
account holder authorises Leamington Voice Studio and its appointed
payment provider to collect the applicable monthly tuition fee automatically
until tuition ends in accordance with these Terms & Conditions.
Students or parents/guardians are responsible for ensuring that valid payment
details are kept on the account.
Where a student starts partway through a month, the remaining lessons that month
may be charged separately. The normal monthly payment will then begin from the
next applicable payment date.
If a payment fails, Leamington Voice Studio will contact the account holder to
arrange payment.
Where an account remains overdue after reasonable notice, Leamington Voice
Studio may temporarily suspend lessons or other services until the account has been
brought up to date.
7. STUDENT CANCELLATIONS
We understand that occasionally students will be unable to attend their scheduled
lesson.
Where at least 24 hours' notice is provided, the student will receive a make-up
lesson credit.
Where less than 24 hours' notice is provided, the scheduled lesson will normally be
forfeited and no make-up credit will be issued.
The lesson remains included within the student's annual lesson allocation.8. NO-SHOWS
Where a student does not attend a scheduled lesson and no prior notice has been
provided, the lesson will be treated as a missed lesson.
The lesson will be charged as normal and will not qualify for a make-up credit.
Teachers are not required to make additional time available for lessons missed
without notice.
9. HOW TO CANCEL OR REARRANGE A LESSON
Cancellations and requests to rearrange lessons should be made through the official
Leamington Voice Studio communication or booking system.
Students should provide notice as soon as they know they are unable to attend.
Informal conversations with a teacher should not be relied upon as confirmation that
a lesson has been cancelled or changed unless the cancellation has also been
recorded through the Studio's normal system.
This ensures the cancellation is correctly recorded and any eligible make-up credit is
applied to the student's account.
10. MAKE-UP LESSONS
Students who provide the required 24 hours' notice will receive a make-up lesson
credit.
Leamington Voice Studio provides designated opportunities during the year in which
make-up lessons may be arranged.
There are up to 12 designated make-up weeks within the Studio calendar.
Make-up lessons:
• are subject to teacher and studio availability;
• may be with the student's usual teacher or another suitable LVS teacher;
• may take place at a different day or time from the student's usual lesson;
• cannot be exchanged for cash;
• cannot normally be deducted from monthly tuition fees;
• cannot be transferred to another student; and
• must be used within the applicable teaching year.Unused make-up credits expire at the end of the relevant teaching year and cannot
be carried into future years.
Students and parents/guardians are responsible for arranging available make-up
lessons and should not leave all unused credits until the end of the teaching year.
Although we will make reasonable efforts to provide suitable make-up opportunities,
a particular date, teacher or time cannot be guaranteed.
11. TEACHER CANCELLATIONS
If Leamington Voice Studio or the student's teacher has to cancel a scheduled
lesson, the student will not lose that lesson.
Depending on the circumstances, we may:
• rearrange the lesson;
• provide a suitable cover teacher;
• provide a make-up lesson;
• offer an online lesson where appropriate; or
• provide an appropriate account credit or adjustment where the lesson cannot
reasonably be replaced.
Where possible, reasonable notice will be provided, although this may not always be
possible in cases such as sudden illness or emergency.
12. TEACHERS
Lessons may be delivered by Leamington Voice Studio's studio owner, employed
staff or suitably appointed associate/self-employed teachers working through the
Studio.
The student's tuition arrangement remains with Leamington Voice Studio rather
than individually with a particular teacher.
Students may occasionally be taught by another suitably experienced member of the
teaching team due to staff illness, professional commitments, timetable changes or
other operational circumstances.
Where there is a permanent change of teacher, we will communicate this to the
student or parent/guardian.13. LATENESS
Students should arrive ready to begin their lesson at the scheduled time.
If a student arrives late, their lesson will normally still finish at the original scheduled
finishing time because another student may be booked immediately afterwards.
Lessons cannot normally be extended to compensate for student lateness and
lateness does not qualify for a make-up credit.
Where a student arrives so late that it is no longer practical to deliver a meaningful
lesson, the lesson may be treated as missed.
If a teacher is running late, the student will receive their full allocated teaching time
wherever reasonably possible.
14. ILLNESS
Students should not attend the Studio when they have an illness that could
reasonably pose an infection risk to teachers or other students.
Where at least 24 hours' notice can be provided, the usual cancellation and make-up
policy applies.
We recognise that sudden illness can occur and individual circumstances may be
considered at the Studio's discretion.
15. SCHOOL HOLIDAYS, BANK HOLIDAYS &
STUDIO CLOSURES
Regular lessons take place according to the published Leamington Voice Studio
calendar.
Lessons do not automatically take place simply because a particular weekday occurs
within a calendar month.
School holidays, Bank Holidays and planned Studio closure periods will be reflected
within the student's lesson calendar.
Monday students have a separately adjusted annual lesson allocation and
monthly fee because of the additional Bank Holidays that affect Mondays.
Because annual tuition is divided into 12 equal payments, monthly payments remain
payable during planned non-teaching periods.16. CIRCUMSTANCES OUTSIDE OUR CONTROL
Occasionally lessons may be affected by circumstances outside the reasonable
control of Leamington Voice Studio, such as severe weather, disruption to the
premises, utility failure, government restrictions or other emergencies.
Where possible, the Studio will take reasonable steps to minimise disruption, which
may include providing an online lesson, rearranging tuition or providing an
appropriate credit where a lesson cannot otherwise be delivered.
17. ENDING REGULAR LESSONS
Students wishing to stop ongoing lessons must provide one calendar month's
written notice to Leamington Voice Studio.
Notice to end regular lessons must be sent by email
to info@leamingtonvoicestudio.com.
The student's regular lesson time remains reserved during the notice period and
normal tuition fees remain payable.
The student may continue attending their scheduled lessons throughout the notice
period.
Where the required notice is not provided, tuition fees relating to the applicable
notice period may remain payable.
Once the notice period has ended and all outstanding balances have been settled,
the regular lesson time will be released.
18. TERMINATION BY LEAMINGTON VOICE STUDIO
Leamington Voice Studio may discontinue or suspend tuition where there has been:
• persistent non-payment;
• serious or repeated breach of these Terms & Conditions;
• threatening, abusive or inappropriate behaviour;
• serious safeguarding concerns;
• deliberate damage to Studio property; or
• behaviour which makes it unreasonable or unsafe for tuition to continue.Reasonable notice will normally be provided unless the circumstances require
immediate action for safety, safeguarding or serious misconduct reasons.
19. OUTSTANDING PAYMENTS
Students or parents/guardians remain responsible for outstanding fees properly due
under their tuition agreement, including tuition provided during an applicable notice
period and separately agreed services such as examinations, workshops,
performances or additional coaching.
Where an account remains significantly overdue, the Studio may suspend further
lessons, examination entries, additional bookings or participation in chargeable
Studio activities until the balance has been resolved.
Where reasonable attempts to resolve an outstanding balance have been
unsuccessful, Leamington Voice Studio reserves the right to pursue recovery of
sums properly due through lawful debt recovery procedures.
Any court fees or recovery costs will only be claimed where legally recoverable.
20. CHANGES TO LESSON TIMES
We will always try to accommodate requests for a permanent change of lesson time,
but alternative times depend upon teacher and Studio availability.
A new regular lesson time is not confirmed until Leamington Voice Studio has
agreed the change.
21. EXAMS, AUDITIONS & PERFORMANCES
Students may be offered opportunities to participate in examinations, auditions,
showcases, performances, competitions, recordings and other events.
Participation is optional unless otherwise agreed.
Associated expenses such as examination entry fees, accompanist fees, costumes,
sheet music, licensing, travel or additional rehearsals may be charged separately.
Parents/guardians of children taking part in performances must provide any
information reasonably required for child performance licensing or other
safeguarding requirements accurately and by the requested deadline.Teachers will prepare and support students to the best of their professional ability.
However, Leamington Voice Studio cannot guarantee examination results, casting
decisions, audition outcomes or performance opportunities.
22. SAFEGUARDING
Leamington Voice Studio is committed to providing a safe and appropriate
environment for children, young people and adults.
Teachers working with children are expected to comply with the Studio's
safeguarding procedures and appropriate DBS requirements.
Any safeguarding concerns should be reported promptly to Leamington Voice
Studio.
The Studio may take immediate action where it reasonably believes this is necessary
to protect a student, staff member or other person.
23. EMERGENCY & CONTACT INFORMATION
Parents/guardians and adult students are responsible for providing accurate and up-
to-date:
• contact information;
• emergency contact information;
• relevant medical information; and
• information about additional needs which may affect safe participation in
lessons.
Please notify Leamington Voice Studio promptly if any of this information changes.
24. CHILDREN – ARRIVAL & COLLECTION
Parents and guardians are responsible for ensuring children arrive safely for their
lesson and are collected promptly afterwards.
Leamington Voice Studio's responsibility for a child relates to the child's scheduled
lesson or organised Studio activity and does not extend to unsupervised periods
before or after that time.
Where a child is being collected by someone other than their usual parent/guardian,
the Studio should be informed in advance wherever possible.Students under 16 should be collected by a parent, guardian or authorised adult
unless Leamington Voice Studio has received prior permission from the
parent/guardian for that young person to leave independently.
25. STUDENT BEHAVIOUR
We aim to provide a welcoming, positive and inclusive learning environment.
Students are expected to:
• treat teachers, staff and other students respectfully;
• follow reasonable safety instructions;
• use Studio equipment appropriately; and
• behave in a way that does not significantly disrupt other students or activities.
Where behaviour becomes a concern, we will normally discuss this with the student
or parent/guardian first.
Serious or repeated behaviour that compromises safety or the learning environment
may result in lessons being suspended or discontinued.
26. MEDICAL CONDITIONS & ADDITIONAL NEEDS
Parents/guardians and adult students should make the Studio aware of any medical
condition, allergy, disability, additional need or other relevant information which may
affect participation in lessons or require reasonable adjustments.
We aim to provide an inclusive learning environment and will make reasonable
adjustments where appropriate and practicable.
27. VOCAL HEALTH – SINGING STUDENTS
Leamington Voice Studio places a strong emphasis on healthy and sustainable vocal
development.
Students should tell their teacher if they are experiencing vocal pain, persistent
hoarseness, significant voice loss or another vocal-health concern that may
affect their ability to sing comfortably.
A teacher may adapt, reduce or pause vocal exercises where they believe continuing
to sing may be inappropriate.Where necessary, the student may be advised to seek assessment or advice from
an appropriately qualified healthcare professional before continuing certain aspects
of vocal training.
Singing tuition, vocal coaching and vocal-health education provided by Leamington
Voice Studio are educational services and do not constitute medical diagnosis or
medical treatment.
Students should not continue an exercise that causes pain or significant discomfort
and should inform their teacher immediately if this occurs.
28. PHOTOGRAPHY, VIDEO & RECORDING
Photographs or video footage of students will only be used for Leamington Voice
Studio's public marketing, website or social media where appropriate consent has
been obtained.
Parents/guardians may be asked to provide separate consent for children.
Consent to marketing photography or video can be withdrawn for future use by
contacting Leamington Voice Studio.
Students may occasionally be audio or video recorded for educational purposes,
such as reviewing vocal technique, performances or progress. Where appropriate,
permission will be obtained beforehand.
29. PERSONAL PROPERTY & STUDIO EQUIPMENT
Students are responsible for their own belongings while attending Leamington Voice
Studio.
The Studio cannot accept responsibility for loss of or damage to personal items
except where liability cannot legally be excluded.
Students should treat Studio premises and equipment with care.
Deliberate or reckless damage caused by a student may result in the student or
parent/guardian being asked to meet reasonable repair or replacement costs where
appropriate.
30. DATA PROTECTION & PRIVACY
Personal information is used for purposes connected with providing tuition,
administering accounts and payments, maintaining student records, communicating
with families and operating Leamington Voice Studio.
Personal information will be processed in accordance with applicable UK data
protection legislation, including the UK GDPR and Data Protection Act 2018.
Further information about how personal information is collected and used should be
read alongside Leamington Voice Studio's Privacy Policy.
Personal information will not be sold to third parties.
31. COMMUNICATION
Important information regarding lessons, payments, Studio closures, timetable
changes, examinations and events may be sent by email or through the Studio's
student management system.
Parents/guardians and adult students are responsible for ensuring their contact
details remain current and for checking Studio communications.
Lesson cancellations, permanent timetable changes and notices to terminate tuition
should be communicated through the official Studio channels rather than relying
solely on messages passed verbally to individual teachers.
32. CHANGES TO FEES
Tuition fees may be reviewed periodically.
Where Leamington Voice Studio changes ongoing lesson fees, reasonable advance
notice will be provided before the new fee takes effect.
Students will not be charged a new ongoing tuition rate without being informed of the
change.
33. CHANGES TO THESE TERMS
Leamington Voice Studio may occasionally need to update these Terms &
Conditions to reflect changes to the Studio, its services or applicable requirements.
Material changes affecting an existing student's tuition arrangement will be
communicated with reasonable notice.Nothing within these Terms & Conditions removes a student's statutory consumer
rights.
34. COMPLAINTS
We want students and families to have a positive experience at Leamington Voice
Studio.
If you have a concern about tuition or another aspect of the Studio, please contact
Studio management as soon as possible so that we have an opportunity to
investigate and resolve the matter.
We aim to deal with complaints fairly, professionally and within a reasonable period.
35. GOVERNING LAW
These Terms & Conditions are governed by the laws of England and Wales.
If any individual provision is found to be invalid or unenforceable, this will not
automatically affect the remaining provisions.
Nothing in these Terms & Conditions affects any mandatory legal rights available to
consumers.
36. ACCEPTANCE OF TERMS
By accepting a regular lesson place, registering for ongoing tuition or continuing with
lessons, the student or, where applicable, their parent/guardian confirms that they
have read and agree to these Terms & Conditions.
Students and parents/guardians should raise any questions about the Terms &
Conditions before accepting an ongoing lesson place.
